The warehouse keeper swears that the shelf is empty. But when you open the accounting system, 7 smartphones that are not physically there are still recorded under Astana Trade LLP. Or the opposite: the sale has been posted and the money received, but the company's inventory has gone “into the negative.” Before calling the developer, open the Statement of Goods by Company. This is the first report to check when the recorded quantity does not match reality: it shows the opening balance, all receipts, all issues, and the closing balance for each item specifically by company—the legal entity that owns the goods on its balance sheet.
An important point from the outset: this is a report, not a document. It does not post anything or create E-invoices, SNTs, or accounting entries. It reads data that has already been accumulated and displays it in a convenient format. Therefore, instead of “how to complete the document,” the following explains “how to configure and generate the report.” The entries are provided for reference: they belong to the documents that generate the movements, not to the report itself.
1. Purpose
The report shows inventory movements and balances by company (the legal entity that owns the goods), rather than only by warehouse. It answers the following questions: how much was available at the beginning of the period, what was received, what was issued, and how much remains—by item, variant, warehouse, and movement document.
2. Where to Find It
Path in the interface: “Warehouse and Delivery” section (or “Financial Performance and Controlling”) → “Reports” panel → goods reports group → “Statement of Goods by Company”. If the report is not listed, click “Settings” in the reports panel and enable its visibility.
A quicker way is to use the navigation link. Open “Service and Settings” (the ▾ icon at the top right) → “File” → “Open URL” (or “Follow Navigation Link”) and paste:
e1cib/list/Отчет.ВедомостьПоТоварамОрганизаций
The report will open immediately, without searching through the menu.
2а. How to Find Your Release
Open “Help” → “About”. In the window that opens, the platform version is shown at the top (for example, 8.3.2x), and the configuration release is shown below (“Trade Management for Kazakhstan,” edition 3.4, version 3.4.5.21). Everything in this guide was verified on 3.4.5.21; field names may differ slightly in other builds.
3. How to Configure and Generate the Report
The report is configured using the header fields and the “Settings” button. Here are the key elements.
- Period (REQUIRED). The start and end of the interval. If left blank, the report will retrieve data for the entire period of record—the figures will be correct, but the opening balance will be distorted, and you will not see the movements for the required month. Set the exact period you are reconciling (for example, 01.09.2026–30.09.2026).
- Company. A filter by legal entity. If you leave it blank, you will see the total for all companies in the database. When reconciling a specific LLP, always set this filter; otherwise, one company's balances will be combined with those of other companies.
- Warehouse. A filter by warehouse/storage location. This is useful when the same goods are stored in several warehouses and you need only one of them.
- Item / Variant / Batch. A precise filter down to a specific item. Blank fields mean “all.” If you are trying to find out why a specific item is still recorded, enter only that item to make the report easier to read.
- “Settings” button (advanced mode). This is where you specify groupings (Company → Warehouse → Item → Recorder), filters, and indicators. This is where you enable drill-down to the movement document. Without it, you will see the total but will not know which document caused the “extra” receipt or issue.
- Indicators. The default indicator is quantity. Amount/cost indicators can be added if they are configured in the report variant. If you do not need amounts, disable them to make it easier to identify quantity discrepancies.
After configuring the report, click “Generate”. The “Save Variant” button saves your layout (the period is reset, while filters and groupings are retained), so you do not have to recreate it every month.
4. Worked Example with Figures
Company: Astana Trade LLP; warehouse: “Main”; item: “Smartphone X”. Period: September 2026. Unit cost: 200 000 ₸.
| Indicator | Quantity, units | Amount (cost), ₸ |
|---|---|---|
| Opening balance as of 01.09 | 10 | 2 000 000 |
| Receipt (received on 20.09) | 15 | 3 000 000 |
| Issue (sale on 22.09) | −18 | −3 600 000 |
| Closing balance as of 30.09 | 7 | 1 400 000 |
The report shows these exact rows. The following explains what is behind the receipt and issue (these are entries generated by the documents, not by the report; Kazakhstan VAT for 2026 is 16 %):
Receipt of 15 units at 200 000 ₸ excluding VAT (the “Purchase of Goods and Services” document):
- Dr 1330 3 000 000 ₸ — goods recognized
- Dr 1420 480 000 ₸ — recoverable VAT (3 000 000 × 16 %)
- Cr 3310 3 480 000 ₸ — amount payable to the supplier
Sale of 18 units at a selling price of 300 000 ₸ excluding VAT (the “Sale of Goods and Services” document):
- Dr 1210 6 264 000 ₸ — customer receivable (revenue + VAT)
- Cr 6010 5 400 000 ₸ — sales revenue (18 × 300 000)
- Cr 3130 864 000 ₸ — VAT payable (5 400 000 × 16 %)
- Dr 7010 3 600 000 ₸ / Cr 1330 3 600 000 ₸ — cost written off (18 × 200 000)
Result: the register has a balance of 7 units totaling 1 400 000 ₸. If the report shows 10 instead of 7, for example, the sale of 18 units was either not posted or was posted under another company. The report will show this immediately if you expand the grouping down to the recorder.
5. Report Variants
The report offers several ways to view the same data (selected under “Settings” / “Select Variant”):
- By balances and turnover — the standard statement: opening balance, receipts, issues, and closing balance.
- By companies / by warehouses — the top-level grouping changes depending on what you are reconciling (the legal entity or the physical storage location).
- With drill-down to the recorder document — used to find the source of a discrepancy.
- Balances only as of a date — a quick snapshot of the closing balance without turnover.
6. What the Report Is Based On
The report reads the “Goods by Company” accumulation register, which maintains quantitative records of goods by company, warehouse, item, variant, and batch. The following documents create movements (receipts/issues) in this register:
- receipts — Purchase of Goods and Services, Recognition of Surplus, Transfer (into the company), Customer Return;
- issues — Sale of Goods and Services, Write-off of Shortages, Transfer (out of the company), Return to Supplier.
The exact dimensions of the register in your build can be viewed in the list of available fields under the report's “Settings” (this is the only point that should be double-checked for a specific release). The report does not create movements; it only displays what the documents have already recorded.
7. Printing and Exporting
The report does not have a separate “print form”; the generated tabular result itself is printed. The following options are available:
- Print — sends the current table to the printer (the button with the printer icon).
- Save — exports to Excel (.xlsx), PDF, Spreadsheet Document (.mxl), or HTML.
- Send — attaches the generated report to an email directly from 1C.
Before printing, collapse unnecessary groupings; otherwise, hundreds of detailed rows will be printed.
8. Common Errors
- “Company is not specified” / the report is blank. The most common cause is not an error but a filter: a company or warehouse with no movements during the period has been selected. Remove unnecessary filters and generate the report again.
- Negative balance (“−3 units”). The issue was posted before the receipt, or the sale was recorded under a company/warehouse where the goods were unavailable. Expand the row down to the recorder, find the issue document, and check the date/warehouse/company.
- The report balance does not match “Goods in Warehouses.” These are different registers: “Goods by Company” reflects the legal entity that owns the goods, while “Goods in Warehouses” reflects their physical location. A discrepancy is normal if goods were accepted on consignment or are in transit. Reconcile reports of the same type.
- “Indicator is unavailable in the selected report variant.” You added an amount indicator that is not included in the current layout. Return to the standard variant via “Select Variant” and configure it again.
- The figures changed after documents were reposted. The report caches its result until “Generate” is clicked. After changing documents, always regenerate the report using the “Generate” button.
9. FAQ
Does this report post documents or create E-invoices? No. It is a report: it only reads data and does not record anything. E-invoices, SNTs, and accounting entries are generated by receipt and sales documents.
How does the “Statement of Goods by Company” differ from the “Statement of Goods in Warehouses”? The first is broken down by company (the legal entity that owns the goods), while the second is broken down by physical storage location. The same goods may be recorded in one warehouse but belong to different companies.
Why does the report show a negative balance? The issue preceded the receipt: a sale or write-off was posted before the receipt or under the “wrong” company/warehouse. Find the document by drilling down to the recorder and correct the date or details.
How can I find which document created an extra receipt/issue? Under “Settings,” add “Recorder” as the lowest-level grouping. Each movement row will show the specific document, date, and quantity.
How can I show only a specific item? Complete the “Item” field in the header (and, if necessary, “Variant” and “Batch”). The report will show movements for that item only.
Does the report account for VAT at 16 %? The report's amount indicators represent the cost/quantity of the goods, not VAT. VAT at the rate of 16 % is recorded in documents and tax reports, not in the goods statement.
How can I view the balance as of any date rather than for a period? Set the end of the period to the required date and use the “Balances Only” variant to obtain a snapshot of the closing balance as of that date.
Can the report be exported to Excel? Yes: click “Save” → select the .xlsx format (PDF, .mxl, and HTML are also available).
Why does the report balance not match the actual stock in the warehouse? Either documents have not been posted (receipt/sale/transfer), or the discrepancy is real, in which case it is recorded through stocktaking and recognition/write-off documents. The report only displays accounting data.
The report is blank even though there were movements. Why? Check the period and filters: the wrong company or warehouse may have been selected, or the period may not include the document dates. Remove the filters and generate the report again.
10. Related Documents and Reports
The report is not entered “based on” another document; it reads document data:
- Generate receipts: Purchase of Goods and Services, Recognition of Goods Surplus, Transfer of Goods, Customer Return of Goods.
- Generate issues: Sale of Goods and Services, Write-off of Goods Shortages, Transfer of Goods, Return of Goods to Supplier.
- Related reports for reconciliation: “Statement of Goods in Warehouses,” “Goods Balances and Availability,” “Cost of Goods,” “Trial Balance for Account 1330.”
After finding the document responsible by drilling down to the recorder, you can open it by double-clicking it directly in the report and make the correction there.
How to find your release: open “Help” → “About”; the platform version and configuration release are shown there.
This guide was verified on release 3.4.5.21 of “Trade Management for Kazakhstan” (edition 3.4).
